Fill in the diary data points

The diary’s data points are your plant’s own fields — readings, flags, notes — set up by your admin in the diary-element editor. So they can differ per plant: your diary asks for exactly the fields that were defined for your plant. This article covers how you fill them in during the shift.

  • An opened, editable diary: you fill the fields in the live (open) diary. If you have not opened it yet, do that first — see Open and close the shift diary.
  • Edit permission: if all you see is “View only — only the shift supervisor can record entries.”, then you do not have permission to record entries in this diary.
  1. Open the diary and scroll to the data points. Each field shows its label; if it has a unit, that is in brackets next to the label (e.g. Pressure (bar)).
  2. Fill the field according to its type. The most common ones:
    • Text — free text (e.g. a note),
    • Number — an integer or decimal value; the field only accepts numbers,
    • Yes/No — a two-value dropdown (a flag),
    • Dropdown — a list of the options your admin defined,
    • Name picker — you pick a colleague from the shift roster,
    • Date / Time — a date, time or date-time picker,
    • Image — attach a photo to the field (from your phone camera too),
    • Computed — you do not fill this in: the system calculates it from the other fields (read-only).
  3. Do not look for a “Save” button — the diary saves on its own. The Actions rail on the right shows “All saved” to confirm it is recorded.
  4. Required fields must be filled by close. Required fields are marked; if one is left empty, closing the diary will not go through (“Fill in the required fields before closing.”).

The values you entered appear in the fields, the Actions rail shows “All saved”, and once every required field is done, the diary can be closed at the end of the shift. The filled data points go into the diary PDF and the reports.

What you see Why What to do
“View only — only the shift supervisor can record entries.” You do not have record (edit) permission for this diary. Ask your admin for the permission; until then you can only view it.
A number field rejects a value A number field only accepts numbers (with the right decimal separator). Enter a number; if it is an integer field, do not add decimals.
You cannot edit a field It is probably a computed field (read-only). Fill in the input fields — the computed value updates on its own.
Close will not go through A required field was left empty. The system jumps to the missing field — fill it in, then close again.
  • Your admin designs the fields. In the diary-element editor they set which fields exist, their type, whether they are required, and whether they have a unit. During the shift you fill them, you do not change them.
  • Some are tables. A data point can also be a table (repeating rows or fixed row labels) — you fill the cells by their type in the same way.
  • Some come from the system. The shift, the start/end time, the plant and the shift group are usually automatic (“The system selects this based on the time — no need to choose.”).
