Build the report template (the diary PDF)

The Report template defines what the diary PDF looks like: which blocks it is made of, in what order, and its header/appearance. The PDF is generated from the closed diary using this template, and that is what the recipients receive.

  • Permission: the report-template right — report:template:manage.
  • Where to find it: the Report template tab in the management area.

  1. Open the Report template tab.
  2. Add blocks to the body. The most common: Heading · Text block · Events · KPI row · Handover · Computed datapoint — plus Orders, Maintenance, Headcount, page break, divider.
  3. Order the blocks — this becomes the PDF order.
  4. Set the header and appearance (logo, colour, safety marker) — the template’s visual frame.
  5. Watch the PDF preview: it shows instantly how the finished PDF will look.

From the closed diaries the PDF is generated with the template you set: the chosen blocks, in the given order, with the configured header. This is the PDF shown for archived diaries and to the recipients.

What you see Why What to do
No “Report template” tab You do not have the report:template:manage permission. Ask your admin.
A block shows up empty in the PDF The block references content that this diary has no data for. Normal; remove the block if unneeded, or leave it — it does not fill with no data.
The site’s PDF shows the company base The site has no override of its own. On the template tab switch to the site level and set it there.
