A separate shift schedule per site
Each site can use its own shift schedule — one location can run 3×8 hours while another runs 2×12. This is not cosmetic: the shift schedule decides when the diary opens and closes at that site, and when its PDF report goes out. If a site has no shift with times filled in, that site produces neither an automatic diary nor a PDF — silently, without an error message.
Before you start
Section titled “Before you start”- Permission: the shift-schedule right — tenant_role:manage.
- Where to find it: Master data → Shift schedule in the management area.
- Which site you are editing: the one you are currently on in the header’s site switcher. The tab says it too: “You’re editing the … site’s shift schedule — each site can use its own.”

- In the header’s site switcher, switch to the site whose schedule you want to set.
- Open the Master data → Shift schedule tab and check the top line — does it name that site?
- Starting from scratch, pick a best practice preset: 2×12 h continuous (06–18 / 18–06), 2×12 h (07–19 / 19–07) or 3×8 h (06–14 / 14–22 / 22–06).
- Set the labels and the times row by row (e.g. Morning · 06:00–14:00). The time format is
hh:mm. - Use the Active checkbox to switch on the shifts actually in use, and switch off the rest.
- Click Save on that row — saving happens per row, not for the whole table at once.
- Repeat for the other sites: switch in the header and set them up there too.
If it worked
Section titled “If it worked”That site’s diaries bind to the configured shift, with the configured label. From now on the system opens and closes the diaries at this site by itself, and after the shift ends — with the delay set on the PDF & email tab — the PDF goes out to the contacts.
Check the other site too: switch to it in the header and verify that its active shifts also have times.
Common problems

Worth knowing
Section titled “Worth knowing”- A new site does not start empty: at creation it inherits a copy of the first site’s shift schedule, so it is never silently left without times. You are free to diverge — the copy is only a starting point.
- The time zone is organization-level today (Settings → General), not per site. If a site works in another time zone, enter its shift times accordingly.
- The diary elements’ shift filter refers to this schedule: if an element only shows in certain shifts, it uses these shifts — and what is not in the diary will not be in the PDF either.
- Dispatch time = shift end + delay. The delay and the automatic dispatch are set on the PDF & email tab, per level (company base or that site) — see Set the PDF report recipients.
