Datapoint report and export (CSV/Excel)

The readings, flags and notes entered into the diary do not stay locked in it: on the Export tab you build your own report from them — each selected datapoint becomes its own column, going back in time — and download it as CSV or Excel. You can also save the setup so next time it is one click.

Before you start

• Permission: the export right — report:export.
• Where to find it: the Reports page → Export tab. (With the export permission the page opens on this tab straight away.)
• Prerequisite: there must be filled datapoints. If there are none you get: “No datapoints yet. Create field-based diary elements on the »Diary elements« tab and fill them in — then they can be exported here.”

Steps

Three parts: Datapoints (what becomes a column) · Filters (from which logs) · Preview + download. The saved reports sit on top.

1. Open the Reports page and stay on the Export tab.
2. In the Datapoints (columns) list, tick the fields that should become columns. The list is grouped by plant and diary element (e.g. “Plant A · Handover”), so you can find what you need even in a long list. The number of ticked items shows above the list (selected), and Clear selection removes them all.
3. Set the Filters on the right: From (day) – To (day), Shift, Plant, and whether only finalized logs should be included.
4. Pick the Granularity:
   • Per log — one row per diary entry (the most detailed),
   • Per day (daily total) — one row per day.
5. Check the Preview: the table shows the rows matching your filters. If it is empty, the message “Select at least one datapoint to preview and export.” tells you what is missing.
6. Download it: Download CSV or Download Excel. The file is produced in your organization’s time zone, with the date in its name (operex-riport-YYYY-MM-DD).

Save it if you will need it again

Give it a name in the field on top (Report name…) and press Save. “Set the columns and filters, give it a name, then save — one click re-runs it later.” Saved reports are shared within the organization: what you build, a colleague can also pull up.

The preview is not the full data

The preview shows the first rows only — the page says so: “The preview shows the first rows; the full data is in the download.” If you see fewer rows than you expect, check the download first and only then suspect the filters.

If it worked

The preview shows your chosen datapoints as columns, with the day on each row (and, per log, the shift, plant and status); the download contains the same data in full. The Excel file has a single sheet, and the CSV is Excel-compatible.

Common problems

What you see	Why	What to do
No “Export” tab	You do not have report:export (the other report tabs sit on separate permissions).	Ask your admin in the permission matrix.
“No datapoints yet.”	There is no field-based diary element that has actually been filled in.	Add fields in the diary element editor and fill them in the diary.
“Select at least one datapoint…”	No column is selected.	Tick at least one datapoint in the list on the left.
“No logs match the filters.”	The date/shift/plant filter — or the Finalized logs only switch — excludes everything.	Widen the date range, or clear the “finalized only” tick.
A column is empty on some rows	That field was not filled in that log, or it belongs to another plant.	Check the plant filter; an empty cell is real information: there was no data there.
An “archived” mark on a datapoint	The field was archived, but the earlier data remains.	It stays exportable — archiving does not lose historical data.

Worth knowing

• The column stays continuous even if the field “moves”. If you later put a field into a different diary element, its export column does not split in two — a datapoint has its own stable identity, it is not identified by where it sits. This is one reason the element structure and the fields live in separate layers.
• Calculated datapoints from the report template land here too. If you create a calculated datapoint or a KPI in the PDF template (difference, sum, average, formula…), it “can be downloaded as its own column under Reports → Export (CSV/xlsx)” — no need to set it up twice.
• This is not the diary PDF. The PDF is the document of one shift; this export is the data series of many shifts. They answer different questions.
• Times are in your organization’s time zone — including the date in the file name.
