Report: preview, finalise, versions
The report is a PDF built from the job’s client-facing entries: a header with your company logo (or, if none is uploaded, your name), the entries grouped by day or by category, photos with their capture time, the Before–after pairs and the Change orders summary. Whatever you change in the settings, the preview rebuilds at once; when it looks right you finalise it — from then on the PDF never changes, and the entries in it are locked.
Before you start
Section titled “Before you start”- Permission: building a report needs the sharing right — munkanaplo:share (the QR code carries the share link, so a read-only role must not see it). Downloading finished reports only needs munkanaplo:view. Without the sharing right the page says: “Building a report needs the sharing permission — you can download the finished reports below.”
- Stage: a report can be made for a job that is Ordered, In progress or in Handover; the Report tab appears on the job page once the diary has opened (or when a report already exists).
- Content: only entries marked Client too can go in. An internal entry, activity or survey never does — two independent filters guard that.

- Open the job and choose the Report tab.
- What to include? Pick one of three: All client entries, Since the last report (only those not yet in a finalised report), or Selected entries (with All / None and a checkbox per entry; select at least one).
- Layout. Set the Order (Chronological (by day) or By category), the Photos per page number, the Photo size (Small, Medium, Large), and whether there is a QR code to the progress page. The defaults come from Policy → Report; you can change them per report.
- If this is the job’s last report, tick Final report. (The policy can ask for this at closing — see Share and close.)
- Check the preview. A quarter of a second after every settings change the whole report rebuilds (Building preview…). “Preview with downscaled photos, built in your browser. The finalised PDF is built on the server with full-quality photos.”
- Tap Finalise. The confirmation (Finalise report — version n) tells you how many entries get locked, and which earlier report the new one supersedes, if any.
- Confirm with Finalise and lock.

If it worked
Section titled “If it worked”The page says “Report finalised (version n) — the entries are locked.” The Finalised reports list shows the report: Version n, the final (if you ticked it) and current badges, its time, the Fingerprint (SHA-256) and a Download link. On the timeline a Report finalised system row records the fact — it is internal; the client does not see it.

Common problems
Section titled “Common problems”| What you see | Why | What to do |
|---|---|---|
| “No client-facing entry on this job yet.” / “The selection contains no client-facing entry — an empty report cannot be finalised.” | There is no entry the client can see. | Record an entry with Client too visibility, or change the selection. |
| “Select at least one entry.” | In Selected entries mode none is ticked. | Tick one, or switch to All client entries. |
| “The selection has n photos; a report holds at most 300.” | The report photo ceiling is 300 images. | Narrow it: Since the last report or Selected entries. Finalise stays disabled until then. |
| “The report content changed in the meantime (new version or edited entry) — review the preview and finalise again.” | Someone edited an entry after the preview, or a new version appeared in the meantime. | Review the new preview and finalise again. Nothing was written. |
| “A report can only be made for an ordered, in-progress or handover job.” | The job has not opened the diary yet, or is already closed. | Move it to the right stage. |
| “n photos could not be loaded — they show as labelled empty cells in the report.” | An image could not be fetched for the preview. | The report shows an empty cell, but the gap is flagged “Photo unavailable” — never hidden. Retry with Retry. |
| No “Report” tab | The job has not reached the diary stage and has no report. | It appears from the Ordered stage. |
Worth knowing
Section titled “Worth knowing”Correction entry. If a locked entry is wrong, add a new entry to it with Correction entry (see Record an entry). In the next report the correction shows with a Correction label; a report that has already gone out never changes.
Versions and “superseded”. Every finalising creates a new version (1, 2, …). The new report marks an earlier one superseded only if it contains every entry of that one (“The new report covers every entry of version n, so that version is marked ‘superseded’ but kept unchanged.”). If the new report has a different selection, or is a Since the last report continuation, that is not an overwrite — both reports stay current. A superseded report is not deleted and can still be downloaded.
Before–after. The report puts the Before and After photos each in time order and sets them side by side by position — it does not match by location. An odd one out becomes a one-sided pair labelled No match; During photos are not paired, they appear in the daily layout.
Change orders summary. At the end of the report, by date, description and amount, with a Total row. Items without an amount are flagged: “n item(s) without amount — the total does not include them.”
SHA-256 fingerprint. At finalising the system computes the PDF’s fingerprint and stores it with the report. The list shows the start of it (the first 12 characters; hover the row to see the full value), and the send confirmation shows it too. You can compare the SHA-256 of the file you download to check it is identical to the finalised one. Before sending, the system itself compares the stored PDF to the fingerprint and sends nothing if they differ.
QR code on the report. The QR code leads to the job’s live progress page, and goes into the PDF only if the policy allows it (Sharing → QR code on the report) and a live share link exists. If not, the setting says so (“No live share link — the QR space stays empty.”). Because the PDF does not change, a printed QR leads to the “not found” page after the link is revoked.
