Share with the client and close the job

The client can follow the job without signing in: on a progress link (from the QR code printed on the report or the button in the e-mail) they see the entries and photos meant for them. You issue it, you can revoke it, and you send the finalised report by e-mail. At the end you close the job — from then on it is read-only, and the link stays live for a limited time.

  • Permission: the sharing right — munkanaplo:share. (Closing needs the munkanaplo:write right for the stage change.)
  • Stage: the Sharing with the client panel is visible once the diary has opened (Ordered), and on a closed job too (for the link’s state).
  • Progress page switched on: if Policy → Sharing → Client progress page is off (for the company or just this job), the panel says: “The client progress page is turned off for this job — no link can be issued and existing links do not open.”
  • For e-mail: the client’s record needs an email address.
The Sharing with the client panel: the live progress link, the Copy, Open, Revoke buttons and the QR sheet download
The Sharing with the client panel: the live Progress link, Copy, Open, Revoke and Download QR sheet (PDF).
  1. Create the link. On the job page, in the Sharing with the client panel, tap Create progress link. The panel shows the link (Live) with “The progress link is ready.”
  2. Hand it over. Copy puts it on the clipboard (“Link copied to the clipboard.”); Open shows, in a new tab, what the client sees. For hand-over on site tap Download QR sheet (PDF): a printable A4 sheet with the link’s QR code (“Follow the progress of the job”), ready to post at the work site. The QR sheet needs a live link.
  3. Set what they see on this job (optional). In the What the client sees on this job block you can override the values of the policy’s Sharing group for this job only (see below), then Save sharing settings.
  4. Send the report by e-mail. On the Report tab, in the Finalised reports list, tap Send to client on the chosen row. The confirmation (Send report vn to the client — n is the report’s version) shows the Recipient, the Copy, the Progress link in the e-mail row and the Attachment (with the start of the PDF’s SHA-256). Confirm with Send now.
  5. Close the job. In the Stage panel tap Closed (from In progress or Handover) and confirm. If the policy asks for a condition, the dialog says so (see below).
The client's progress page on a phone: the company name, the job subject, entries grouped by day with photos
What the client sees on the link: the contractor’s name and logo, the job’s subject, the Last update, and the shared entries grouped by day, with photos.

What the client sees — and what they do not

Section titled “What the client sees — and what they do not”

The progress page is read-only and shows exactly this:

  • the job’s subject and the contractor’s name and logo;
  • the diary entries marked for sharing (Client too), grouped by day, with their category, and their photos;
  • the time of the Last update;
  • a change order’s amount only if Change-order amounts on the progress page is on (by default it is off).

They do not see: internal entries, activities (call, meeting, email, note), the survey, system rows, the author of an entry, the client record’s phone number, email and address, the job’s site address field, the photos’ location data and raw metadata. They also cannot comment or approve — those are separate add-ins that are not available yet. The page is kept out of search engines and the browser does not cache it.

If the link is wrong, expired or revoked, the client gets one page, the same for every case: “This page was not found — The link is wrong, expired or has been revoked. Ask the contractor for a new link.”

  • While the job is open the link is live until you revoke it.
  • Revoking: the Revoke button asks for confirmation (“Revoke the progress link?”). The link stops working immediately — anyone opening it (also from a printed QR sheet) sees the “not found” page. It cannot be undone; if needed you issue a new link (new link = new code). Revoked links stay under Earlier links, marked Revoked.
  • After closing the link still opens for as many days as Policy → Sharing → Link lifetime after closing (days) says (30 by default, 14 in the Strict profile; 0 = it stops when the job is closed). The panel shows “The job is closed — the link is live until: …”, later “… the links expired (…)”. After that the link shows “not found”.
  • On a closed job the sharing settings can no longer be changed, but the link can be revoked.
The What the client sees on this job per-job settings: for each row the default and the value that applies to the job
The per-job override: each row shows its Default; a different value gets an Overridden badge. Set it back to the default and the job follows the policy again.

Sending the e-mail — what the system does

Section titled “Sending the e-mail — what the system does”
  • Recipient: always the email address on the client’s record. It cannot be changed here; if there is none, Send to client is replaced by “The client has no e-mail address — the report cannot be sent.” with an Edit the client’s details button next to it.
  • Copy: if Policy → Report → Copy to myself is on, you get the e-mail too.
  • Content: the finalised PDF attached, and the progress link. If there is no live link but the progress page is on, a new link is created on send (“a new progress link is created on send”).
  • It goes out once: “A report goes out once; afterwards the send time and recipients show in the list.” A second tap sends no new e-mail (“This report had already been sent — no new e-mail went out.”).
  • The e-mail goes out on the contractor’s behalf, replies go to the contractor.
  • On success: “Sent to: …”, and the report row gets a Sent mark with the recipients.
Closing with the policy warning: a sent final report is missing, with the confirm button
Before closing the policy can ask for a condition; a warning you can confirm, a block you cannot.

Before closing, the policy can ask for three conditions (each is Off, Warn or Block):

  • Close only with a sent final report — needs a sent, final-marked report that has not been superseded (finalising alone is not enough: it has to be sent too);
  • Close only with an “after” photo — needs at least one photo marked After;
  • Handover stage before closing — if on, closing only goes through the Handover stage.

After closing the job is read-only (“Closed job — read-only. Closed: …”): no entry can be recorded, no report made, and no report sent. So send the final report BEFORE closing. The closed job’s timeline, reports and downloads stay.

The job moves to Closed, the read-only bar on the page says so, and the progress link still opens for the set time. The sent report carries the Sent mark on the list, and the closing gate counts it.

What you see Why What to do
No “Sharing” panel You lack the sharing right, or the job has not reached Ordered yet. Ask your administrator for the right, or move the job on.
“There is no live share link — create one first.” There is no live link for the QR sheet or the QR. Create progress link, then retry.
“The QR code could not be generated — no QR sheet was created.” The QR could not be generated. Retry; the system never gives a QR-less sheet as a success.
“The client has no e-mail address — add it on the client’s record and send again.” The client has no email. Fill it in on the Clients tab, then send again.
“The client’s e-mail address is malformed — fix it on the client’s record.” A mistyped address. Fix it on the record.
“E-mail sending is not configured on this server — the report was not sent.” No mail service is set up on the server. Tell your provider; nothing went out and it was not marked as sent.
“The report is already being sent — refresh the page in a few seconds.” An earlier tap’s send is still running. Wait, then refresh.
“This report has been superseded by a newer version — send the latest one.” The chosen report is superseded. Send the current (latest) version.
“The stored report PDF does not match the finalized copy — nothing was sent.” The fingerprint check found a mismatch. Do not send; tell your provider.
“The policy blocks this step.” (when closing) E.g. Close only with a sent final report is Block and there is none. Make and send a final report, or ask for the policy to be changed.
“A closed job is read-only.” You tried to change it after closing. On a closed job only viewing and revoking the link are possible.

Per-job override. The values of the policy’s Sharing group — progress page, QR on the report, shareable categories, change-order amounts, link lifetime after closing — can be set differently for a single job (even looser, e.g. show a change-order amount on one job). The gates (e.g. “Order only with a quote”) cannot be overridden at job level.

The limit of sharing. The progress page is made for the client, it is not authentication: whoever gets the link sees it without signing in. That is why it can be revoked any time, expires after closing, and only shows the entries marked for sharing.
