Edit the diary elements

In the Diary elements editor you set what your diary is made of: which built-in modules (Orders, Tasks, Events, Maintenance…) and which custom elements (your own data-point fields) it contains, and in what order. What you set here is what the shift workers see in the diary.

  • Permission: the diary-layout right — layout:manage.
  • Where to find it: the Diary elements tab in the management area.
Adding a new diary element: the element-name field (e.g. Inventory), the Add diary element button and the Templates button.
Adding a new diary element. From the Templates you can also drop in ready-made elements, so you do not build everything from scratch.
  1. Open the Diary elements tab. In the center are the active elements — what users see in the diary —, on the right the disabled and deleted elements.
  2. New element: type the element name (e.g. Inventory) and click Add diary element. Or pick a ready-made element from the Templates.
  3. Reorder the active elements by dragging — the order is what users see in the diary.
  4. Enable/disable: one click in the right-hand list re-enables an element among the active ones (or the reverse). A disabled element is not lost for good.

Switching photos on for a built-in element

Section titled “Switching photos on for a built-in element”

On the events, maintenance and tasks built-in elements (the shift handover’s switch is on the Shift data element) the Photos block lets you switch on whether staff can attach photos, and how many at most (1–10). The setting applies per unit and is never mandatory; by default events and the handover are on, maintenance and tasks are off. Details: Set up photos; the shift staff’s side: Upload a photo in the diary.

How many photos an “Image” field takes

Section titled “How many photos an “Image” field takes”

For an “Image” field of a custom element, the field settings have a Maximum number of photos selector (1–10). 1 is how the field has always worked: one photo that staff can replace. With a higher number, the person filling it in uses the photo box (several photos at once, reorder with ◀ ▶, a photo not yet saved can be taken out) and sees how many more can be added. The server checks the limit too when the diary is saved: with a photo over the limit the diary is not saved (“At most 3 photos per item — the diary was NOT saved.”). A deleted photo leaves its trace in the field but does not take up a place. If you lower the limit later, diaries already filled with more photos can still be saved — only no new photo can be added above the limit. The “Required” switch works as before. In the PDF every photo of the field appears, one below the other.

The active elements appear in the diary in the order you set; disabled/deleted elements do not, but can be brought back anytime. In a multi-plant organisation each plant can have its own diary elements.
