Photos and notes on the permit

Two cards on the permit page record what happens during the work: Photos (the template’s photo points, step by step) and Notes (free text, dictation available). Neither is part of the signed, frozen permit body, so the signature chain is untouched.

  • Permission: the issuer (ptw:issue), or the requester on their own permit (ptw:request).
  • For photos: the template has a photo point (Permit settings → template → Photo points), or the policy requires a hand-back photo.
  1. Open the permit — on a phone as well. The Photos card lists the photo points with their step (preparation, isolation, during the work, hand-back, close).
  2. A point is open only in its own step. The “during the work” point, for example, can be filled on an active, suspended or day-closed permit; for the other points the card says it cannot be filled now.
  3. Choose “Upload photo” — on a phone the camera opens. If you did not take the picture (for example you record for a contractor without an account), enter their name in Taken by: the photo then reads “Taken by … · recorded by …”.
  4. Withdrawing: while the point’s step is open, the uploader or the issuer can withdraw the photo without a reason. A photo of a closed step can be withdrawn only by the issuer, with a reason. A withdrawn photo leaves a trace.
  1. On the Notes card write down what happened — or use the microphone button if dictation is on for your organisation.
  2. If you record someone else’s words, enter their name in Whose words?.
  3. Add note. A note cannot be edited: a correction is a new note.

Notes appear at the end of the PDF under “Notes during the work”. Photos are not printed, only their count; the pictures are on the permit page and in the Analytics → Photos viewer.
