QR label, scanning and the mobile work-order list
Three things belong together on the Maintenance page: a technical location’s QR label (which you print and put up on the equipment), the scanner in the search (camera or a handheld barcode scanner), and the mobile work-order list, on which you find the work waiting for you on a phone, even with gloves on. The label serves field reporting — how that works is described in Field report by QR label.
Before you start
Section titled “Before you start”- To request a label: “Manage field reports” — field_report:manage. By default only the system administrator has it. Without this right the QR label box does not appear on the page at all, and the token is not in the page data either.
- For scanning and work orders: maintenance read access — cmms:view — and the Maintenance module switched on.
- Master switch: field reporting is off by default for the whole organisation and is switched on by OPEREX. While it is off the label answers “not found” and no new label can be requested — on the node page the box says so and its Details: Master data → Field reports link takes you there.
Request a QR label for a technical location
Section titled “Request a QR label for a technical location”- Open Maintenance → Technical location structure and select the node. You find the QR label box on the page.
- Click Enable QR label. If the location could belong to several plants, choose first: Which plant’s log should it write to? — a label writes into one plant’s diary. A plant-bound location offers only its own plant; a location without a plant offers all active plants of the site.
- In the row that appears you see the token’s state (Active / Paused) and the link. Click Label (PDF) for the printable sheet.
- Several labels at once: if a technical location is a subtree (say a block with all its equipment), Subtree labels (PDF, N) puts the labels of the live tokens of the location and everything below it on one sheet.
- In the QR label actions (⋮) menu: Copy link, Pause / Resume, New token, Revoke.
Scan in the maintenance search
Section titled “Scan in the maintenance search”In the Maintenance search (Search by name or code…) you can scan a label in two ways.
- With the camera: click the QR button next to the search field (Scan a QR label with the camera). The browser asks for camera permission the first time — allow it. With Point the camera at the QR label. shown, hold the phone in front of the label; when the code is recognised the window closes by itself.
- With a handheld (USB or Bluetooth) barcode scanner: click into the search field and scan the label. The scanner types the code and then sends Enter — you need not empty the field first: an own label scanned after text already in the field is recognised too.
What does a recognised code do?
- Your organisation’s own field label — the system opens the diary, not the search: signed in with the right to log events it takes you to the pre-filled event form (plant and location filled in, “From QR label: …”), with — given maintenance read access — a Technical location data sheet → link next to it. Without the “Log event” right you get the public report form.
- Any other code — another organisation’s QR, a web address, a part number — goes into the field as search text; the system never navigates to a foreign address. When a camera scan was a web address, you see: “The scanned code is not this organisation’s field label, so we searched for it as text.”
Camera permission and browser
Section titled “Camera permission and browser”- The camera works only on the Maintenance page, signed in, and only over a secure (HTTPS) connection. The permission is the browser’s own prompt; recognition runs in the browser — the app does not send the camera image anywhere.
- On Android Chrome the built-in QR detector does the work; in other browsers a fallback decoder is loaded (the first use may take a little longer). If the browser does not support the camera, the handheld scanner always works.
Mobile work-order list
Section titled “Mobile work-order list”On Maintenance → Work orders a phone shows cards instead of a table (the usual table from 769 pixels wide).
- Mine: the one-tap quick button shows the open work orders assigned to you. Tap again to switch the filter off. The button is shown only to people who see work orders through maintenance read access — someone who sees only their own requests does not get it.
- Assignee: the drop-down filters by Assigned to me or Unassigned (work the shift can still pick up).
- Open only: hides closed, rejected and cancelled work orders.
- Clear filters: resets everything in one tap.
On a work order’s detail page a phone shows a sticky quick bar at the bottom: Status, Checklist done/total (e.g. 2/5) and Photo — with 48-pixel touch targets.
If it worked
Section titled “If it worked”In the QR label box the token is Active, Label (PDF) downloads, and scanning the label from the search (signed in) opens the diary’s pre-filled form. On the work-order list the Mine button is highlighted (primary colour) when switched on.
Common problems
Section titled “Common problems”| What you see | Why | What to do |
