Practical assessment and certificate

A practical assessment is the strongest evidence for a qualification: two people watch the work on site. A certificate is a PDF proof of a qualification that does not change after it is issued.

  • The Training module must be switched on for your company.
  • Permissions:
    • recording a practical assessment: training:assess;
    • issuing a certificate: training:certificate;
    • viewing a certificate: training:view is enough.
  • You need an observer: another active user. The assessor is always you, the person who records.
  1. Open the employee from the Training → Matrix tab.
  2. Click Practical assessment.
  3. Choose the qualification, the assessment date and the result (Passed / Not passed).
  4. Describe what was observed (the task, the steps, the criteria). This becomes the content of the qualification.
  5. Choose the observer and save.
  • Passed: the qualification is added to the register, marked “Practical assessment”. The expiry comes from the qualification type’s validity.
  • Not passed: the assessment is listed at the bottom of the page, but the register does not change.
  • For a level-scaled qualification, a passed assessment also needs a level (0–3).

The system refuses it when:

  • the assessor and the observer are the same person;
  • the observer is the assessed employee;
  • the employee is linked to your own account;
  • the qualification is medical fitness (it has no practical assessment).

An assessment cannot be changed later. If it is wrong, revoke the qualification as usual and record a new one.

  1. On the employee’s page, at the qualification entry, click Issue certificate.
  2. The certificate page opens. It shows the same rows as the PDF.
  3. Use Open PDF or Download to get the file.
  • A qualification has one certificate. If it already exists, the entry shows the certificate number; click it to open.
  • The issued PDF cannot be changed. Every time it is opened, the system checks that the stored file is the same.
  • If the qualification is revoked later, the certificate stays, but its page shows a “revoked” warning.
  • No certificate can be issued for medical fitness or for a revoked qualification.
