Training module overview
The Training module is the one place for training and qualifying your own employees: who is qualified for what, what expires, which material they learn from, what they are examined on, and by when they must complete it. The documents of contractor (external) people do not belong here — they stay in the Permit-to-work (PTW) module.
The module is a separate, paid product module. It is enabled for your organisation by the provider — a tenant does not switch it on itself. With the module off, the Training page says so: “The Training module is not enabled”. With the module on, you reach the page from the header menu.
What it consists of
Section titled “What it consists of”- Qualification register. Qualification types (validity, warning, level scale, who it is mandatory for), the per-employee matrix and the Expiries list. An entry cannot be edited or deleted: you revoke a wrong one and record a new one. For medical fitness only the outcome (fit / fit with restrictions / unfit) and the validity are stored — no findings, no diagnosis, no attachment.
- Courses and learning material. Versioned courses: a published version never changes again. Material can be Markdown text (with formulas and callout boxes), PDF, video, image or a link.
- Question bank and exam. Questions in pools (single and multiple choice, true/false, numeric with tolerance), JSON / Excel import and export. An exam draws fresh from the pools for every attempt, and the server grades it automatically (by default an 80% pass mark, 3 attempts, 24 hours between attempts). Supervised exams are possible too.
- Assignments and notifications. Who, what, by when: a self-paced window or a session with an attendance list, recurrence by validity. Employees see what was assigned to them on the My trainings tab and in the My to-dos block on the home page; they get a daily notice by e-mail, and the people responsible get a weekly summary.
- Practical assessment and certificate. An on-site assessment by an assessor and a different observer; a PDF certificate of a qualification that never changes once issued.
- PTW integration. With Training on, PTW checks the competence of an internal person linked to the employee register against the Training register. Internal employees’ earlier PTW documents are copied once into Training (documents added later are taken over with the Take over PTW documents button); they stay in PTW, read-only.
The subject of a qualification is always a row of the employee register (Control panel → Core master data → Employees). Only employees whose register row is linked to a login account get exams of their own and notifications.
Who can do what
Section titled “Who can do what”The System administrator assigns the permissions on the Permissions page; the defaults:
- training:take — your own assigned trainings and exams. Every role has it.
- training:view — viewing the register and the assignments. By default site manager, production manager, shift leader.
- training:assign — assigning, excluding, attendance lists. By default the production manager.
- training:manage — qualification types, courses, question bank, exam settings, taking over PTW documents.
- training:assess — recording and revoking qualifications, supervised exams, practical assessments.
- training:personal — personal data: medical fitness, external document number and attachment.
- training:certificate — issuing certificates.
manage, assess, personal and certificate belong only to the System administrator by default. You cannot
record a qualification for the employee linked to your own account, and you cannot supervise your own exam.
