Filling in the safety rules and the protective equipment
Hazard identification suggests into one place: the safety rules box and the protective equipment box. The safety rules box has two parts: the Technical measures are ticked on a responsibility row (who has done it, who still has to do it), the numbered list of Organisational measures is a set of rules to keep. The numbering runs on across both parts, as on paper: “rule 7” is unambiguous.
The box titles are template text, so they stay in the language the template was written in: on the built-in templates they read Betartandó biztonságtechnikai előírások and Minimálisan alkalmazandó védőeszközök; the English PDF prints them as Safety rules to be observed and Minimum protective equipment.
Before you start
Section titled “Before you start”- Permission: filling in a draft — ptw:request. The Issuer column and N/A can only be set with the issue right (ptw:issue); the Requester column can be ticked by the requester on their own permit, and by the issuer.
- Prerequisite: a draft whose template has technical items in the safety rules box (the built-in templates do).
-
Answer Hazard identification and press “Done”. On first fill-in the groups are open with the full item list. After Done each card shows a short summary (with many items, “+ N more”); Edit opens it again. While a mandatory main question is unanswered, Done does not collapse but jumps to it. The answers fill the safety rules box and the protective equipment box.
-
Check the technical measures. The part’s header shows how far it is filled in (“3 / 6 filled in”), and its ⓘ gives the meaning: “Issuer: already done · Requester: still to do · N/A: not applicable (with a reason where the assessment requires the line).” The rows come from the template’s items and from hazard identification. Each row has three tick boxes: Issuer, Requester, N/A. Where a row gives a tick box to one side only, the other cell shows —.
-
Tick your own side. The Issuer’s tick means it is already done (for example the line is isolated); the Requester’s tick means the requester must do it before the work — an instruction, not a completion. Leave the other side empty. Without the issue right, the Issuer and N/A boxes are disabled (“Only users who can issue may tick this”). A small stamp under the row keeps who ticked and when: “✓ Issuer · name · time”.
-
Mark with N/A what does not apply to this job. N/A applies to the whole row and clears both ticks. On a row marked 🔒 (“Required by the attached risk assessment — cannot be removed.”) N/A needs a reason: the Reason for N/A field appears below it, with a star. On a row marked N/A the requester side cannot be ticked either.
-
Enter the reference number where the row asks for one. Some technical measures carry a number — for example isolation the Isolation reference number, decontamination the Decontamination certificate number. Rows that belong together (for example several isolation rows) get the field once, under the first row of the group.
-
Decide the organisational measures. The organisation’s always-valid rules are on every permit and cannot be removed (the ⓘ: “Organisation policy — valid on every permit, cannot be removed.”). A row that came from hazard identification can be removed: Remove → “Why is it not needed?” → pick a reason (Not relevant for this work · Handled by another measure · Covered by an operating procedure · Other… — then write it briefly). Add your own rule with the Own rule… field and Add; the “From the vocabulary:” row offers the organisation’s common rules with one click.
-
Check the protective equipment. The equipment suggested by hazard identification stands under Suggestions; Accept suggestions ticks it. If a selected item replaces another one (for example a full-face mask replaces the face shield), the replaced suggestion is struck through as a dashed chip, “replaced by …”, with the reason behind the ⓘ — you do not need to tick it, and it does not go on the paper.
-
See what is missing. The bar at the bottom of the page (“2 missing items ▴”) also lists the technical part: “Technical measure: …” · “Reference number: …” · “Reason for N/A missing: …”. Fix takes you to the exact row; if the box is collapsed, it expands it first.
-
After the request: confirm what was done later. On a submitted request the body is locked, but on the empty side of a technical row a Confirm button appears — until the permit is closed, and only on the side you may tick (not on a row marked N/A). The click writes your name and the time into the Permit history: “Measure confirmed — recorded in the permit history.” — under the row, “✓ Issuer · name · time · Permit history #12”. The reference number can be recorded afterwards the same way: type it into the field and press Save (the most recently saved number counts).
When a risk assessment is attached
Section titled “When a risk assessment is attached”On a permit started from a risk assessment, Hazard identification does not appear — the Risk assessment card stands in its place. The safety rules box and the protective equipment box open collapsed, because the assessment has already decided their content: the header shows the From the assessment badge, a summary line (for the rules box “Rules: 6”, for the equipment box the names of the selected items), “2 missing” when something is missing, and an Expand button. Expanding is not stored: after a reload the box opens collapsed again.
The tick of a 🔒 technical row is always needed for issue, whatever the policy says: the responsible side ticks it itself (the assessment decided whether it is needed), or marks it N/A with a reason. Equipment required by the attached assessment never gets a replacement chip.
If it worked
Section titled “If it worked”The header of the technical part reads “6 / 6 filled in”, and the bar at the bottom lists no technical item. On the issued permit’s paper the box stands with two sub-headings — Technical measures and Organisational measures — numbered straight through; ticks made in the draft are in the responsibility columns, ticks confirmed after the request are on the signature sheet as “Technical measure confirmed — …” rows, with name and time.
Common problems
Section titled “Common problems”| What you see | Why | What to do |
|---|---|---|
| “Only a user who can issue permits may set the issuer-side tick of a technical measure.” | Without the issue right you tried to change the Issuer column or N/A. | The issuer sets the Issuer side and N/A; you may tick the requester side. |
| Issuing stops: “A technical measure required by the risk assessment is not ticked (or is N/A without a reason).” | A 🔒 row is empty, or marked N/A without a reason. | Tick the row (after the request: Confirm), or fill in Reason for N/A. |
| Issuing stops: “Not every required technical measure is ticked.” | The site’s policy gate “Technical measures done before issue” also asks for the technical ticks (issuer items or all items). | Fix takes you to the missing row; after the request Confirm completes it. |
| “The technical measure tick could not be recorded (no such row, or the permit is closed).” | The permit was closed, or the row was removed in the meantime. | Reload the page; on a closed permit nothing can be confirmed. |
| “The reference number cannot be saved (empty, unknown group, or the permit cannot be written in this state).” | The field was empty, or after issue you tried without the issue right. | After issue the issuer records the number. |
Worth knowing
Section titled “Worth knowing”- What the policy asks for: the gate “Technical measures done before issue” is Off by default — then only the 🔒 rows are mandatory. Switched on: issuer items (the row’s Issuer column ticked or N/A) · all items · warn only. See Policy gates.
- Suggestions do not repeat what goes into the safety rules box. If a measure or an item of equipment is carried by a row of another box (for example the fire-protection box), it is ticked on that row, not repeated.
- A removed row leaves a trace: under Removed rules and in the permit history you see who removed it, when and why.
