Link older names and company names to the register
On a permit the worker and the company are often just typed text — “Peter Kiss”, “Gep-Szer Ltd.”. The system then does not know which person in the Person register or which contractor in the contractor register it means. The Link names and companies to the register page collects these free texts, and you link each name and each company once — the link applies to every affected permit.
Why it matters: the per-person and per-company reports (for example how many permits a contractor worked on, or a person’s card) only see linked rows by identity. After linking, they are complete.
Before you start
Section titled “Before you start”- Permission: ptw:manage, with company-wide scope (a link affects the permits of every site, so a manager bound to one site cannot use this page).
- Where to find it: Permits → Person register, the Link names and companies button in the header.
-
Check the coverage. The Coverage card shows three ratios: how many worker rows are identified (linked to the register), how many company mentions are linked to the contractor register, and how many permits have a plant. When there is nothing to measure it says “no data” (not 0 %).
-
Link the unlinked names. The Unlinked names table groups name + company pairs and shows on how many permits they appear. Pick the person from the dropdown — the Same name in the register group brings the people with the same name to the top — then Link. If the person is not in the register yet, + Add as new person adds and links them.
-
Link the unlinked company names. The Unlinked company names table collects the requesting company of permits and the company of worker rows, merged by spelling. Pick the contractor, then Link — or add it with + Add as new contractor.
-
Read the feedback. A successful link states the numbers: “Linked: … worker rows, … permits. Skipped because of a conflict: …”. The linked group disappears from the list.
When it worked
Section titled “When it worked”Both tables empty out: “Every worker is linked to the register.” and “Every company name is linked to the contractor register.” The coverage ratios go up, and the person and company cards show the older permits too.
Common errors
Section titled “Common errors”| What you see | Why | What to do |
|---|---|---|
| “Meanwhile this person got locked on another running permit — nothing was linked.” | The chosen person is working on another running permit, and the policy allows only one running permit at a time. | Reload the page and try again once that permit is closed. |
| “The group changed in the meantime (someone already organised it).” | A colleague linked the same group meanwhile. | Reload the page. |
| “A contractor with this name is already in the register — pick it from the list.” | Add as new contractor would add a name that already exists. | Pick the existing one from the dropdown. |
Good to know
Section titled “Good to know”- The same name is not necessarily the same person. That is why the system never links on its own: the suggestion is only a preselection, you confirm the link with the button.
- It links per group. One link applies to all non-draft permits of that name + company pair; rows with a conflict are skipped, and the feedback tells you how many.
