Employees: one person, one record — pairing
The Employees tab is the register of your own employees. The same person could so far appear in several places: in the diary roster, in the Shift planner and as an internal PTW person. Here there is a single employee record, and you link their other rows to it. External (contractor) people do not go here — they stay in PTW.
The tab belongs to the core master data: it is available even when the shift-log module is switched off.
Before you start
Section titled “Before you start”- Permission: viewing needs employee:view (default: site manager, production manager, shift leader); adding and pairing need employee:manage (default: System administrator only). Linking a login account also needs the permission to view users.
- Where to find it: Control panel → Core master data → Employees.
- One employee = one site. Roster and shift-planner rows can be linked only to an employee of the same site.
What we already did at introduction
Section titled “What we already did at introduction”Existing rows were linked automatically once, but only where it was certain: where the shift-planner or PTW row already pointed to the roster row, or where the shift-planner row was unambiguous with its own staff number. A matching name alone is not enough — two rows with the same name were not linked, because they may be two different people. Anything uncertain is on the Waiting for pairing list.
- Open the Employees tab. At the top is the Waiting for pairing list, below it the employees with their linked rows.
- In the ⋮ menu of a waiting row, choose:
- Pair with: … — if there is an employee with the same name and you know it is the same person;
- Pair with another employee… — if they appear under a different name;
- New employee from this row — if there is no such employee yet (name, position and staff number come from the row; for a PTW person you choose the site).
- You can also add an employee by hand with New employee (name, staff number, position, site, employment end, login account).
- In an employee’s ⋮ menu you can edit them, unpair a linked row, or deactivate them.
If it worked
Section titled “If it worked”The row disappears from Waiting for pairing, and the link shows on the employee’s row (e.g. “Roster: all plants”, “Shift planner: 12”).
Common errors
Section titled “Common errors”| What you see | Why | What to do |
|---|---|---|
| “The row belongs to a different site” | An employee belongs to one site. | Link it to an employee of that site, or add a new employee there. |
| “This row already belongs to an employee” | You can relink only after unpairing. | Unpair it from the old employee first. |
| “Already has a linked row of this type” | One shift-planner row and one PTW row can be linked per employee. | Check that these are not two different people. |
| You don’t see shift-planner or PTW rows | The Shift planner or PTW module is not enabled. | This is intended — without the module its rows do not show here. |
